Office Manager/Bookkeeper

Sawhorse Media is the parent company of Muck Rack, a software platform for PR executives, and The Shorty Awards who honor the best of social media globally. We are looking for an ambitious and organized Bookkeeper/Office Manager to join our fast-growing startup in NYC to help us scale our innovative culture that was recently covered in FastCompany.

Bookkeeping Essential Functions/Major Responsibilities (50%)

  • Record the financial transactions of all three businesses in QuickBook Online
  • Manage relationships with building management, vendors, and service providers and handle accounts payable
  • Negotiate the best deals as possible with suppliers
  • Reconcile bank and credit card statement
  • Check figures and reporting for accuracy
  • Report any irregularities in data to management
  • Produce balance sheets, income statements and other financial documents
  • Maintain our Asset Inventory list
  • Negotiate the best deals as possible with suppliers
  • Maintain confidentiality and be discreet with information
  • Help maintain budgets in QuickBooks Online and distribute monthly reports
  • Take on other assignments as directed by the Accounting Manager

Office Manager Essential Functions/Major Responsibilities (50%)

  • Greet visitors and create a welcoming office environment
  • Oversee move to new office during the summer of 2019
  • Coordinate day-to-day operations of the office including opening the office daily at 8:30am Monday through Friday
  • Implement and maintain procedures/office administrative systems (Ensure health and safety policies are up to date, keep office informational doc up-to-date)
  • Order and receive office supply shipments
  • Answer the phone
  • Receive mail and disperse appropriately
  • Organize team lunches and outings
  • Oversee seating arrangements
  • Work with People Ops with office-related onboarding procedures (desk arrangements and decor, receiving needed supplies, greet new employees on his/her first day and give them office tour, etc…)
  • Report and handle all maintenance issues
  • Supervise and hire needed vendors for office upkeep
  • Oversee the conference room calendar for the office
  • Assist in interviews by greeting interviewee and showing to the door after interviews
  • Company snack-food orders
  • Take on other assignments as needed

The following skills, knowledge, and abilities will make you a great fit for this position

  • You have a high level of individual initiative
  • You’re a very organized person
  • You’re a numbers guru
  • Solid G Suite and Microsoft Office skills
  • Familiarity with accounting software required with QuickBooks Online a definite plus
  • Attention to detail and a passion for accuracy, especially error-free data entry
  • The ability to resolve practical problems independently
  • Minimum of 2 years in a similar position
